Introduction

CIMCO A/S respects your privacy and is committed to protecting your personal data. This policy statement informs you of how we collect, use, store, and share your personal data, and what rights you have under the General Data Protection Regulation (GDPR).

What data we collect and why

We collect personal data from you when you interact with our websites, products, and services. Personal data is any information that can be used to identify you or that we can link to you. The types of personal data we collect depend on the context of your interactions with us and the choices you make. We may collect the following categories of personal data:

  • Website and Cookies (public)
    We use Google Analytics to track and analyze how visitors use our website, such as which pages they visit, how long they stay, and what actions they take. Google Analytics uses cookies to store a unique identifier on your device that helps us recognize your device when you return to our website. You can consent or decline to the use of cookies when you visit our website. You can also delete or disable cookies in your browser settings at any time.
  • Website / Reseller Area
    A non-public area on our website for resellers of CIMCO A/S only. If you are a reseller, we store your login credentials (username and password) securely to enable you to access the Reseller Area. We also store limited contact information such as company name and email on your profile.
  • Website / Reseller Shop
    A non-public shop on our website for resellers of CIMCO A/S only. If you place an order, we store your company contact information to process your order and to make future purchases easier. We do not store any payment information, as this is handled by our finance department outside of the shop.
  • Website / Download page registration form
    A form used by visitors to register and download our software. We store your email and name to send you the download link. Optionally, we may also collect your contact information (company name, address, phone number, etc.) if you indicate that you want to be contacted by us.
  • Website / Software shop
    An online shop where customers can purchase some of our software products directly from us. If you make a purchase, we store your contact information to process your order and to communicate with you about our products and services. We do not store your payment information, as this is handled by a third-party payment processor.
  • Newsletters
    On occasion we send a newsletter to resellers and contacts who have expressed interest in our products and services. We store your email address to send you relevant news about our company and software. You can unsubscribe from our newsletters at any time by clicking on the link at the bottom of each email or by contacting us.
  • Support and ticket systems
    Internal systems for resellers and customers only, for requesting support or reporting issues related to our products and services. We store your login and contact information (username, email, company name, etc.) to process your support requests and to communicate with you about them. We may also collect other information that you provide us when you submit a support request or report an issue, such as details about the problem, screenshots, logs, or other relevant data.
  • Email
    If you contact us by email for any reason, we store your email address and any other information that you provide us in the email (such as your name, phone number, company name) to respond to your inquiry and to communicate with you about our products and services.
  • Financial systems
    Internal systems that we use for managing orders and finances. We store your business and contact information (name, email, phone number, address, company name, payment information) to process your orders, issue invoices or receipts, comply with tax or accounting obligations, and communicate with you about them.

How we use data

We use your personal data for the following purposes:

  • To provide you with our products and services
    We use your personal data to deliver the products and services that you request or purchase from us, such as software downloads, online orders, support requests, or newsletters.

    We use your personal data to analyze how you use our products and services, such as which features you use most often, how often you encounter errors or bugs, or how satisfied you are with them. This helps us identify areas for improvement, fix issues, develop new features or functionalities,

    We use your personal data to comply with any laws or regulations that apply to us, such as tax or accounting requirements, or to cooperate with any authorities or courts that request or order us to disclose your personal data.

Links to websites and third-party services

Our website, social media, software and services may include links to other websites, social media networks or third-party services. CIMCO A/S is not responsible for the companies and/or individuals it links to and a link does not automatically mean we endorse them. We encourage you to read the Privacy Policies of each and every website, social media network and application that you interact with. This Privacy Policy does not apply to any external website or service that we are not responsible for.

How we protect and store data

We take appropriate technical and organizational measures to protect your personal data from unauthorized access, use, disclosure, alteration, or destruction. These measures include:

  • Using secure servers and firewalls to prevent unauthorized access
  • Limiting access to your personal data to only those employees, resellers, vendors, or service providers who need it to perform their duties and who are bound by confidentiality agreements
  • Training our staff on data protection and security best practices

Data we might share

CIMCO resellers

In order to deliver our software and services, we rely on our network of Authorized CIMCO Resellers who act as data processors on our behalf. Resellers help us with tasks such as handling orders and providing support. We only share your personal data with resellers who have a contractual obligation to process your personal data in accordance with our instructions and the GDPR.

Third-party vendors and service providers

In order to deliver our software and services, we rely on a number of different vendors and service providers who act as data processors on our behalf. Vendors and service providers help us with tasks such as processing payments, sending emails, providing support, or analyzing data. We only share your personal data with vendors and service providers who have a contractual obligation to process your personal data in accordance with our instructions and the GDPR.

Disclosure for law enforcement and legal requirements

We will disclose your information in response to law, legal process, litigation, or requests from public and governmental authorities both in and outside your country of residence. We may also disclose your information if we determine that it’s necessary to enforce our terms and conditions or to protect our operations, users or user experience.

Change of control

In the event of a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, we may transfer any and all information we collect (including personally identifiable information) to the relevant third-party as permitted by law and/or contract. How long we keep information

We keep your personal data for as long as it is needed to fulfill our commitments to you, or to adhere to legal or regulatory requirements. The retention period of your personal data depends on the context and purpose of the processing. We may also keep some of your personal data if we have a legitimate interest in doing so, such as for legal claims or disputes. When your personal data is no longer required, we will either erase it, anonymise it, or aggregate it with other data. If we are unable to do this immediately (for example, because your personal data is stored in backup archives), we will securely store your personal data and isolate it from any further processing until erasure is possible.

    You have the right to request that we limit the processing of your personal data in certain circumstances, such as if you contest its accuracy or object to its processing.

    You have the right to request that we transfer your personal data that you have provided us with to another organization or directly to you in a structured, commonly used, and machine-readable format.
  • The right to object
    You have the right to object to the processing of your personal data based on our legitimate interests or for direct marketing purposes.
  • The right not to be subject to automated decision-making
    You have the right not to be subject to a decision based solely on automated processing of your personal data.

    If you have given us consent for the processing of your personal data, you have the right to withdraw it at any time.

Please note that limiting our use of your personal data or having it deleted may prevent you from using our software and services. It also makes it difficult for us to refer to previous correspondences. Please also note that it may be necessary to retain certain records for legal and accounting purposes.

Changes to this privacy policy

  • This Privacy Notice will be updated from time to time and without prior notice. If significant changes are made, we will notify of this through one or more of our communication channels such as website, email, and social media.
